X report and Z report
The X report shows the day’s running status at any time, straight from the journal. The Z report is the same report, frozen: saved with a consecutive Z number per till and protected against changes. Both contain, among other things:
- Sales gross, net and tax per tax rate
- Payment methods with count and amount
- Tips split between staff and business
- Discounts and reversals, also per operator
- Sales, receipts and tips per operator
- Cash with carry-over, cash takings and expected cash
Cash count and daily closing
At the Z report, you count the cash by notes and coins. The till compares the total with the expected amount and automatically books any difference as a cash difference. The counted amount is the carry-over for the next day, and the count record stays saved with the Z report.
You can close as soon as no transaction of the day is still open on the till; otherwise the till names table, operator and start. When the business day rolls over is set for each till – for example 5 am if you are open until 4 am. You can do a cash check without closing at any time.
Cash book and cash movements
Money that enters or leaves the till without a sale, you book in the app as a cash movement. Each movement gets a receipt number, is signed by the TSE and cannot be changed afterwards; you correct a typo with a reversal. These booking types are available:
In the back office, the cash book shows every business day with opening balance, each movement, the day’s cash takings and the closing balance. You download it as a PDF or CSV.
- Opening balance and deposit
- Withdrawal and expense, for example a purchase with a till receipt
- Tip payout to the team
- Cash in transit to the bank
- Private deposit and private withdrawal
- Custom booking types, always with a reason
Reports
In the back office you analyse a period, for all tills or one, for all operators or one. At the top are sales, receipts, reversals and the average receipt, below them the tabs:
The totals match the Z reports of the days. Who sees which figures is governed by permissions – other operators’ tips, for example, only with a permission of their own.
- Product groups and parent groups
- Items with best sellers, worst sellers and favourites suggestion
- Operators with sales, discounts, reversals and tips
- Payment methods, tills and hours
- Discounts by type and reason
- Reversals with reason
CSV export
For Excel or your tax adviser, you download CSV files: journal, receipts with items, payments, items, Z reports and cash book. Closed business days are exported; if a day in the period is still open, the page tells you.
DATEV booking batch
From the daily sales, VidiPOS creates a DATEV booking batch in the EXTF format, which DATEV reads in directly. Revenue is booked per account and tax rate, card payments to cash in transit, vouchers to the voucher liability and cash movements to the account of their booking type.
Before the download, a preview calculates all bookings and checks for each day whether the balance matches the change in cash. If an account is missing or something is off, it names the case, till and day and blocks the download. You agree the accounts for SKR03 or SKR04 with your tax adviser beforehand.
